Copying Data Between Venues

How to copy Items, Batches and POS Items between venues

Introduction

If you have multiple venues in WISK, it's possible to copy Items, Batches and POS Items from one venue to another.

This data can be copied at the time a new venue is created, or any time after a venue has been created.

This is best used if you have venues that have a lot of the same items or menu (For example, you have set up one venue that is part of a chain, and want to add to more venues and reduce some of the set up).

Note: If you're adding a new venue and want data copied to it from an existing one, please let your Customer Success Manager know.

Important Things to Know Before Copying

Before using the copy feature, please know:

  • You can only copy to venues if you have the "Admin" role in the venue you are copying from and the venue you are copying to

  • When you copy Batches or POS Items, if any of the ingredients mapped to them don't already exist in the destination venue, they are created as well

  • This feature is best used when setting up a new venue. For example, you have a new venue and you want to populate it with a list of items. You are adding new items to the destination venue

  • Important: This feature is less effective when copying items to the same venue multiple times and isn't recommended

    • For example you set up your first venue and then copy items to your other ones. You then add more information to the items in the first venue and copy again to push the latest information

    • If you copy items multiple times, we recommend you designate a "main" venue to copy from each time.

      • For example, if you have Venue A, Venue B, and Venue C and you copied items from Venue A to the others, you should always copy from Venue A

      • If you were to copy from Venue B to the others, this may cause issues with your data

Items

To copy Items from one venue to others:

  1. Go to the venue you want to copy data from (the source venue)

  2. On the Items page, click the checkbox beside each item you want to copy then click the "Copy to venues" button. If you want to copy every item, click the checkbox at the top left of the table to select all (if an item has variations it will copy all variations)

  3. Click into the drop-down menu to select the destination venue(s).

    Note: You will only see venues where you have the role of "Admin". You can select multiple venues

  4. After selecting the venues there are other options to specify how the copying will behave.

    • “Only Match Based on IDS” checkbox

      • Checked: When checked and copying items between venues, it will look for items with the exact same WISK ID in the destination venue when pushing changes. If there is no match, it creates a new item.

      • Unchecked - When unchecked and copying items between venues, it will see if the destination venue(s) already have items with the same title. Instead of creating a new item, it will update the existing item with the same name. They do not have to have the same WISK ID

  5. Click "Submit"

  6. After confirming you want to perform this operation, the items are copied to the selected venue(s). This process may take a few minutes.

If the items didn’t exist in the destination venue already, they are created along with any other:

  • Distributors

  • Families / Categories

  • Custom Fields

If the items already existed in the destination venue and you copy the items again, some fields update but others don’t if information has been added in that venue:

  • Item Costs - If there are no invoices in the destination venue it will update to the latest cost from the source. If the destination venue has an invoice, the cost won’t change

  • Par Levels - If par levels have been set in the destination venue, they will not update when copied again (This allows each venue to have unique par levels)

  • Order Guide Item - If this has been set in the destination venue, copying it from the source venue again won’t change this

  • Distributors - Distributors will change to match the source venue. You may need to switch them back.
