How to switch an ingredient for another across all POS Items and Batches it appears in

Introduction

If you need to replace an item/ingredient across some or all POS Items and Batches it appears in, you can use the Swap feature.

You would use this if you no longer carry the item, or no longer use it and need to update multiple recipes at the same time.

For example, you were previously using a 750ml bottle of Tito's Vodka, but have switched to a 750ml bottle of Absolut Vodka.

Note: When you go to perform the swap it shows all items it appears in and you can select all or specific POS Items / Batches.

To see all POS Items / Batches an item currently appears in, click the pencil icon beside the item name then click the "Used In" tab.

Select the Item to Swap Out

To begin, select the item that you want to swap out from your POS Items and or Batches. You can do this on any page where you can edit an item.

  1. Hover your cursor over the item you want to swap out and click the “Pencil” icon

  2. Click the “Actions” menu button, and then click “Swap Item”

On the window that appears, you’ll see the item being swapped out, all POS Items / Batches it currently appears in, and a search field to find the replacement item.

To swap the item:

  1. In the search, type the name of the replacement item that you want to swap in to all POS Items and Batches and click the matching result

    The item being swapped out displays at the top (Titp's). Absolut has been typed in the search bar, and the search result Absolut is highlighted.

  2. After selecting the item, it displays it will replace the other item in all selected POS Items and Batches. Click the checkboxes to select the POS and Batches to replace it in.

  3. After selecting the POS Items and Batches, click "Swap Item"

  4. Click "OK" on the confirmation window

  5. The new item will appear in all selected POS Items and Batches and the costing updates automatically. This make take a few moments

Note: When you swap out ingredients, the recipe changes only apply to data in unlocked inventory periods. Before doing a swap you may want to make sure the last inventory where you were still using the old ingredients is locked, so your historical data is preserved. To learn more, see:
