What is the WISK Requisitions Module?

Track movements of items from stockrooms to outlets, and outlets to outlets in one place

Introduction

The WISK Requisitions module gives your outlets and stockroom one clear process for moving beverage stock around your property.

  1. Outlets request stock from the central stockroom

  2. The stockroom prepares and dispatches it

  3. The outlet confirms what arrived

Every step of the process is visible, making it easy to follow and know if something hasn't been closed out properly.

It also supports transfers of stock between outlets. These transfers are simple and require both sides to confirm before any data is impacted.

It runs alongside the tools you already use in WISK. Everything you record here updates your inventory and transfer history, so your counts, reports and integrations stay in step.

Requirements

The WISK Requisitions module is only available to properties that:

  1. Have a central stockroom with linked outlets (all separate venues in WISK)

  2. Have a shared/centralized items list

  3. Inventory beverage items (food is not yet supported)

You will only be able to see / access it if you meet these requirements.

In addition, each outlet and the stockroom must set a location code. This is a 4-6 character code that appears on requisitions and transfers.

This is set when the venue is created but can be changed at any time in the Venue Settings. When you update the location code it applies to all requisitions and transfers initiated by that venue moving forward.

The location code field is highlighted for visibility

How to Access

To access the WISK Requisitions module your user account needs to:

  • Belong to a central stockroom or an outlet that orders from a central stockroom

  • Have the appropriate permissions. These permissions are part of the default Admin and Manager roles and can be added to custom roles:

    • View requisitions

    • View stockroom

Note: There are additional permissions about editing data but at a minimum you need the view permissions to access the module.

If your user meets the requirements above, there are three ways to access the WISK Requisitions module:

  1. From WISK (Web or iOS)

    1. If your user belongs to central stockroom venue,

      1. Web - "Stockroom" appears under Inventories on the side menu

      2. iOS - "Stockroom" appears on the Inventories Tab

    2. If your user belongs to a venue that orders from a central stockroom,

      1. Web - "Requisitions" appears under Inventories on the side menu

      2. iOS - "Requisitions" appears on the Inventories Tab

Note: A user could belong to both and will see both options at the same time

    3. Clicking / tapping either opens WISK Requisitions (stock.wisk.ai) in a new browser tab. If accessing from the iOS app you will need to log in via the browser tab that opens

  2. By direct link. Bookmark the module's address, stock.wisk.ai, and sign in with your usual WISK account. This allows you to bypass the rest of the WISK Web Portal

Note: There is also an option to install a web app that creates a shortcut to the module

  3. On your phone or tablet. Open the same address in any mobile browser on iOS or Android. When prompted, choose Add to Home Screen to pin it like an app.

Depending on how you access it you may be prompted to select your venue. After you select your venue you'll see the respective UI for either a central stockroom or outlet.

You will also notice a slightly different UI if you access it from a computer vs a mobile device. Despite these small differences the flows are exactly the same, just the placement of some UI elements will be different.

Note: If you have access to both a stockroom and outlets you can use "Switch Venue" to get to a specific venue.

Core Features

Stockroom Requisitions

Stockroom Requisitions lets your outlets — restaurants, bars, banquet spaces — order beverage stock directly from your property's own central stockroom, instead of placing outside orders with distributors. Every order is tracked from request through delivery, with live status visible to both sides.

Every requisition moves through four stages, and both the outlet and the stockroom can see where it stands at each stage.

Stage

What it means

Requested

The outlet has submitted the request. It can still be edited or canceled by the outlet until the stockroom accepts and moves to "Preparing".

Preparing

The stockroom has accepted the request and is pulling stock.

Dispatched

The stockroom has sent the order and is on its way to the outlet. The outlet can receive it when it arrives.

Received

The outlet has confirmed the delivery and its inventory is updated. The request is closed out on both sides

Two things can happen outside that straight line:

  • The stockroom can reject a request at the Requested stage instead of accepting it, if it can't be fulfilled at all.

  • The outlet can report an issue instead of accepting a delivery — a short delivery, wrong item, damaged goods, or wrong quantity — which sends the requisition back to the stockroom to resolve the issue rather than closing it out.

The following actions make up the requisition flow:

Placing an order (Outlet). Outlets browse their catalog and see on-hand stock, par level and what the stockroom has available before they add anything. Top Up to Par builds a cart from everything below par. Items can be ordered by the unit or by the case.

Before submitting, the outlet can mark the order urgent, set a needed-by date and add a note. Each requisition gets a code in the format REQ-YYYY-MM-#####. The requisition also includes the outlet's location code.

Fulfilling an order (Stockroom). The stockroom reviews each request, accepts or declines it, adjusts quantities where needed and dispatches it with an optional note. If it sends more or less than requested, for example holding stock back for an event, the outlet sees the difference and the explanation.

Receiving a delivery (Outlet). The outlet counts what arrived, then selects Accept all items to update its inventory. If something is wrong, it selects Report an issue instead and chooses short delivery, wrong item, damaged goods or wrong quantity and can leave a custom note. The requisition reopens for the stockroom to correct, and the outlet accepts the updated order. Count before you accept. Accepting updates your on-hand inventory right away.

All requisitions appear in the history for the outlet and stockroom.

Outlet to Outlet Transfers

Sometimes an outlet needs additional stock and can't go through the stockroom to get it (stockroom is closed, emergency etc.).

In this situation, you can perform an outlet to outlet transfer.

This flow is initiated by either the sending or receiving outlet. You add items to the transfer and then select either:

  1. I've Sent It or

  2. I've Received it

The other outlet then has to confirm the items and quantity. The transfer is only final and stock updates once both sides agree.

If the confirming outlet counts a different quantity, it flags the difference. The initiating outlet reviews it and corrects the transfer, and the confirming outlet confirms the corrected quantities.

Each change is recorded in the transfer's activity log, along with who confirmed it.

All transfers appear in your history, where you can search and filter between outgoing and incoming.

Benefits

WISK Requisitions was made to provide a better experience when moving stock throughout your property.

  • A clearer process. Each venue/account sees only what it needs, and every requisition shows its stage from Requested to Received.

  • Better-informed ordering. Outlets see on-hand stock, par and stockroom availability before they order, and Top Up to Par saves building carts by hand.

  • Mismatches handled in one place. The stockroom can send a different quantity with a note, and outlets can report an issue that reopens the order, so discrepancies are fixed in the process rather than after the fact.

  • Nothing falls through the cracks. Dispatched orders stay visible to the stockroom until the outlet confirms them, and every requisition and transfer keeps a searchable history and activity log.

  • Both sides agree on transfers. Stock moved between outlets is logged once and confirmed by the receiver, so counts match on both ends.

  • Works where your team works. Use it from a desktop, phone or tablet, on any platform
